Customizing Activity Logs
Supervision Assist enables organizations to tailor activity logs to meet specific training requirements and reporting needs. This customization includes defining activity types, grouping related activities, specifying individual activities, and utilizing activity tags.
If you are submitting new Activity Log customizations or require changes to an existing setup, please fill out this form (Activity Log Customization Form) and submit it to help@supervisionassist.com or directly to your Account Manager.
Definitions
Activity Type
An Activity Type categorizes the nature of the activity being logged, such as Direct Service or Indirect Service.
- Training Plan: Can be enabled or disabled per training Plan
- Can be enabled or disabled per Training Plan.
- May have hour requirements per Training Plan (e.g., requiring 40 hours of Direct Service for practicum).
- Displayed on the first section of training reports and broken down by activity on the second section.
Activity Group
An Activity Group is an optional collection of related activities within an Activity Type. This is useful for further categorizing hours, such as differentiating between telehealth and in-person sessions within Direct Service.
- Shown on the third section of training reports with a breakdown of activity hours and total sum. (View Reports)
Activity:
An Activity specifies the exact task or engagement a trainee participated in, such as individual counseling or group sessions
- Activities can be included in multiple Activity Groups (e.g., tracking individual hours across both in-person and telehealth sessions)
Activity Tag
An Activity Tag is an optional checklist associated with logged activities. Tags are useful for tracking specific details such as assessments administered, client demographics, or other customizable criteria.
- Tracks the frequency of engagement and total hours associated with each tag.
- Displayed on the fourth section of training reports.
- Data from activity tags can be included in exported reports
Activity Hours
Activity Hours are the total amount of activities logged in the system by a trainee. This number is included on the Activity Log page and Training Reports.
On-Site Hours (Time on Site)
On-Site Hours are built into the Activity Log page within Supervision Assist. It represents the total time spent on site for a placement.
- On-Site Hours are typically the same as Activity Hours. They are automatically adjusted when a student adds activities for a day.
- On-Site Hours may be increased to exceed Activity Hours using the pencil icon on the Activity Log page. This can be used if a trainee wishes to track time on site outside of Activities related to graduation or licensure.
